Reception may hand a package to a staff member for room delivery long before the resident receives it. If the record is closed at that first handoff, a later question becomes difficult to answer. Track the intermediate step so “left the desk” and “reached the resident” remain distinct. Explore TrackNest package management for senior living facilities to see how the package-record workflow fits into your process.

Agree on what counts as completed delivery

Define completion in your facility’s written procedure. A staff member accepting a parcel for a delivery round is an internal transfer. The final outcome could be delivery to the resident, release to an authorized person, or return to reception after an unsuccessful attempt.

Choose terms that your staff can use consistently. If your software has limited statuses, describe the intermediate event in its notes and keep the final status aligned with the actual outcome. Confirm this approach in the demo rather than assuming custom delivery stages are supported.

Create a short delivery-round record

Before packages leave storage, identify each item, the intended recipient, the staff member carrying it, and the time of transfer. Use a checklist for the round so an item is not overlooked on a cart. Keep that list out of public view.

  • Match the parcel to the correct resident and unit.
  • Confirm the delivery arrangement is current.
  • Record who accepted responsibility for the round.
  • Document the final outcome for each item.
  • Return undelivered parcels to a named storage location.

Plan for unsuccessful attempts

Decide what staff should do if the resident is unavailable or the delivery cannot be completed. A note such as “delivery attempted at 3:10 p.m.; returned to reception shelf B2; follow-up assigned to evening desk” gives the next shift a usable starting point.

Do not leave a package outside a room simply to finish the round unless that action is permitted by the facility’s procedure and the resident’s arrangement. The workflow should also respect each person’s communication preferences. NIA’s communication resource below is useful background, although it was written for healthcare conversations.

Review the exceptions at handoff

At shift change, reconcile packages that left reception with completed deliveries and returned items. Investigate any parcel still shown as being with a staff member after their round ends. Start by checking the record and speaking with the person who handled it.

TrackNest’s searchable records and notes can support this process. Walk through a sample internal transfer and unsuccessful delivery during your demo to confirm the exact steps your staff would use. Keep ordinary package notes free of clinical details; the FTC privacy guide below is a useful general reference for information handling.
