Package questions do not end when a shift ends. The incoming receptionist needs to know what is waiting, what moved, and what still requires action. A short package handoff can make that information available without reciting every delivery received during the day. Explore TrackNest package management for senior living facilities to see how the package-record workflow fits into your process.
Review exceptions before routine items
Begin with packages that cannot follow the normal process: an unclear recipient, a failed contact attempt, an unsuccessful room delivery, or a discrepancy between the record and the shelf. Each exception should include the next action and the person responsible.
Use a consistent format: item reference, current location, issue, last action, next action, and owner. “Call resident again” is incomplete if nobody knows which contact method was tried or when another attempt is expected.
Reconcile what is in transit
Confirm the outcome of packages transferred to staff for room delivery. A parcel still on a delivery cart should not disappear from the conversation simply because it left reception. Record completed deliveries and return locations for unsuccessful attempts.
Compare the waiting queue with the storage area at the level your facility’s volume allows. If a full count is impractical at every shift, establish a scheduled full reconciliation and a focused check of exceptions and moved items at handoff.
Use a brief, structured checklist
- Waiting parcels are in the recorded locations.
- Internal delivery rounds have recorded outcomes.
- Unclear recipients have an assigned follow-up.
- Contact attempts and remaining actions are documented.
- Any storage overflow is named and explained.
- The incoming employee can access the current records.
Discuss changes to the receiving procedure, too. A temporary alternate delivery entrance or a shelf relocation can cause confusion even when individual records are accurate.
Keep the handoff in the approved workspace
Avoid spreading resident details across personal texts and informal group chats. Use the facility’s approved record and access arrangements. The FTC resources below provide general background on personal-information handling and access controls.
In TrackNest, search, status filters, and package notes give the incoming team a common place to review package information. Confirm the actual staff-access setup during onboarding. A shared view should not depend on everyone using one person’s account.
Try a handoff drill with a sample package that was moved to another shelf and one that returned from a delivery attempt. The incoming staff member should be able to explain the next step from the written record. If they cannot, improve the note rather than adding a longer verbal briefing that will be forgotten.
