A label is a starting point, not a guarantee that every detail is current or readable. A folded label, an old address, or an unclear unit number can turn a quick intake into a long search later. Make review a small, deliberate part of receiving each package.

Separate the recipient from the sender

Start with the delivery address block. Confirm which name belongs to the recipient and which belongs to the sender or business shipping the item. When a business name and a person’s name both appear, use your desk’s naming convention so colleagues can search consistently.

Compare the building and unit information with the delivery location. A recipient’s name alone may not distinguish people with similar names. If the label conflicts with the expected destination, leave the uncertainty visible in the notes and follow your desk’s exception process.

Check the fields a scan suggests

  • Use the carrier tracking number rather than a nearby order number.
  • Check that an apartment or suite number has not become part of the street address.
  • Make sure the record belongs to the item in front of you, especially when receiving several parcels together.

If a field is unreadable, do not guess. Record what you can confirm and explain what still needs checking.

Keep exceptions separate from ordinary intake

A package with a missing unit needs a next action, not an invented destination. Identify who will review it, where the item is held, and what information is missing. Use the same exception location and note format across shifts.

Example: “Unit unreadable; held at Intake B; evening lead to review recipient details.” This tells the next person what is known and what remains unresolved without claiming that a delivery has been verified.

Finish with the physical item

Once the record is correct, put the parcel in its assigned storage location and check that staff can find it using the information you saved. An accurate label record is most useful when it leads to a predictable place.

At the end of an intake batch, check for parcels left on the counter without a saved record. Resolve those before beginning unrelated desk work.
