The last step in package management is easy to rush. Someone is waiting, the desk is busy, and the package seems familiar. A short, repeatable pickup process helps staff check the right details before marking a record complete.

Start with the record

Search for the recipient, unit, tracking number, or other identifying details available to your desk. Open the specific package record instead of relying on a name alone. Check its current status so an already-collected item is not confused with a new arrival.

If several packages belong to the same person, confirm which ones are being collected. Keep the individual records aligned with the actual items leaving storage.

Follow a consistent identity check

Use your organization’s approved method to verify the person collecting the package. Staff should know how to handle recipients, authorized representatives, and cases where authorization is unclear. Resolve uncertainty before handing the item over.

A software record supports the process; it does not replace your site’s pickup policy. Make sure temporary and covering staff know where to find that policy and who can resolve an exception.

Match the physical item

Compare the package label with the open record. Confirm the recipient and any distinguishing details before release. If a person is collecting only part of a delivery, leave the remaining items in the appropriate waiting status.

Do not treat an empty shelf or an informal comment as proof of pickup. When the record and physical item do not match, investigate through your site’s process and document the discrepancy.

Record the outcome while it is fresh

Update the pickup status at the handoff, rather than relying on a later batch of changes. Include relevant exception or authorization notes using the fields your process provides. Keep notes brief, factual, and understandable to someone who was not present.
