Ask for a description first

Follow your organization’s process for asking a claimant to describe the item and where it may have been lost. Gather relevant distinguishing details before revealing information that would make an unrelated item easy to claim.

Keep questions appropriate to the item and the situation. Record the facts needed for the claim without adding unrelated personal information. The goal is a clear account of what was checked.

Compare against the correct record

Find the matching item record and compare its description and found location with the information provided. If several items are similar, review each carefully rather than selecting the first plausible match.

Use the item’s control number or QR label to connect the physical property to the digital record. A code helps retrieve the record; it is not, by itself, proof of ownership.

Resolve uncertainty through your policy

If the claim is unclear, follow the escalation path your organization has defined. Keep the item in the appropriate waiting state and explain the next step to the claimant. Do not mark an unresolved claim as complete merely because a conversation took place.

A useful note records the relevant comparison, what remains uncertain, and the next action. Avoid unsupported conclusions about a person’s intentions.

Document the handoff or other outcome

Once the approved checks are complete, record the actual outcome and update the item status. Keep relevant handoff notes connected to the item so another staff member can understand why it is no longer in storage.
